Notes from finance and operations leads who commissioned payment reporting work — including where the process felt slower than expected.
“The renewal CSV was the smoking gun”
Farah N., finance controller — Klang Valley learning marketplace
We asked AI EnergySys Digital to review three months of subscription renewals before our Q3 pack. They compared gateway settlement lines to the renewal export our product team trusted. Midway through week two they showed a cohort of “active paid” seats that had only partially captured. Correcting that before the board meeting mattered more than any slide redesign.
“Stubborn about raw files — and they were right”
Ethan L., founder — online exam prep studio
I wanted a quick opinion from screenshots. They refused and waited for settlement CSVs. That first week felt slower than I hoped. Once the files arrived, they found scholarship offsets missing from revenue, which would have overstated the month we were about to show investors. Mild frustration early; clear relief later.
Extended story: dual-gateway school group
Operations lead — multi-brand tuition group, East Malaysia
Two brands shared a finance shared-service team but used different gateways. Month-end meant two spreadsheets and a manual “plug.” The settlement assessment rebuilt one brand’s March close end-to-end, then replicated the checklist for the second brand. The plug did not vanish overnight — MDR timing still needs a policy note — but the team now closes with a documented path instead of a single balancing figure nobody could explain.
Follow-on work moved into a full payment reporting audit for the larger brand, with the smaller brand scheduled for the next quarter.
“Definitions memo stopped the weekly argument”
Product operations — skills marketplace
Product counted “successful checkout” events. Finance counted settled funds. The app analytics review produced a one-page definitions memo both sides signed. We still disagree on roadmap priorities, but we no longer invent competing learner counts in the same meeting.
